Please use this information as a guide to better understand our processes, procedures and expectations as we work together to achieve a smoothly executed, memorable event. We look forward to serving you!

SERVICES

We can assist you with all your catering needs – from drop off box/bowl breakfast and lunches to buffet stations, custom menus to happy hour events. We are here to provide you with the peace of mind food and beverage services for your meetings and events.

HOURS OF BUSINESS

Compass One Catering is available during the normal business hours of BNA12, located at 101 Platform Way N. Nashville, Tennessee 37203. Monday-Friday 7:00am-7:00pm.

ORDERING DETAILS

Order Placement: To ensure the best quality and service, please place your orders at least 5- working days (Monday-Friday) prior to your event date. While we will always do our best to accommodate late orders and revisions, not all requests may be possible. If you are unable to provide the 5-working day notice, please contact the Catering Director directly to discuss what options may be available. Changes: Changes that occur after 12pm the business day prior to an event resulting in resetting of catering tables and equipment will result in a $50 resetting fee. This also includes menu offerings. Compass One Catering may not be able to provide the same menu choices if an increase in attendance occurs within 72 hours of an event, but we will provide what is available at the menu price.

Late Bookings: Events booked with less than 5 business day notice will result in a late fee of $50

Cancellations: All cancellations must be made at least 3 working days in advance of a requested event date. If a cancellation is made less than 72 hours of your event date, you will be responsible for 50% of the invoice total. If the cancellation is made less than 24 hours or on the day of the event, the full amount of the invoice will be charged.

Catering Minimum: All catering orders must meet a $150 minimum.

Sales Tax: All catering invoices will be charged Tennessee Sales Tax of 9.25% All liquor and wine sales will be assessed an additional Tennessee State Mandated Liquor Tax of 15% = 24.25%

Catering Equipment: Compass One Catering will not loan out any equipment. Equipment may not be removed from any catered event. Any equipment lost or damaged will incur a charge equal to the cost of replacement.

Confirmation of Order: It is the client’s responsibility to ensure all selections made with their placed order are accurate. Compass One Catering may not be able to provide additional meals of specific menu items ordered at the time of an event due to any inaccuracies made when placing your order.

Guaranteed Attendance: A guaranteed final attendance number must be submitted no later than 3 business days prior to an event, not subject to reduction.

MENU SELECTIONS

Grab ‘N’ Go: Menu items are prepared in individual boxes and bowls

Custom Menus: If you do not see something that aligns with your preferences, dietary restrictions of your attendees, or specific allergies, Please Reach Out to the Catering Director. We are happy to bring any information to our Executive Chef to allow us to provide you and your attendees options available.

Substitutions: Compass One Catering reserves the right to make any last-minute substitutions for food items that are not available due to seasonality, product quality or supplier back-orders. We will notify you of any substitutions as soon as possible.

Vegan, Vegetarian and Avoids Gluten (AG) Offerings: Our menus include a variety of vegan, vegetarian and avoids gluten selections. Please inquire with our Catering Director if you have any questions or concerns.

Allergen Preferences: If you or your attendees have a food allergy, please inform the Catering Director prior to making your selections from our menu.

TYPES OF SERVICE

Drop Off: Drop off orders are quick and for your convenience that do not require extensive set up or pick up. Drop off orders are delivered within 15 minutes of your selected start time of your event. Drop off orders does not require any additional server or delivery fees

Staffed Events: All staffed events will include a $40 per hour/per server fee with a 2-hour minimum. This will include buffet stations and happy hour events that will require server(s) and bartender(s).

PAYMENT 

Compass One Catering accepts company issued P-Cards, Credit Cards, and PO (fully funded). Full balance of the event order is due the following business day of the event. If payment is through a Purchase Order (PO), Compass One Catering must receive the approved PO # at least 48 hours prior to the event start date. If payment is through a P-Card or Credit Card, payment information must be entered at the time of processing your catering order. Compass One Catering has a NET-30 payment policy. If the balance of the event order is not paid in full within 30 days of the event, there will be a 2% late fee assessed each month until the event order balance is paid in full.

BAR SERVICE

Selections: Compass One Catering provides a great selection of craft beers/ciders/wines, full selection of spirits as well as non-alcoholic and mocktail options. All bar beverages are billed based on consumption except where otherwise indicated.

Bar Minimum: All bars have a $250 minimum purchase. For any event that does not meet the minimum, the difference will be added to the final invoice.

Catering License for Alcohol Sale and Service: Compass One Catering holds the beer, wine and spirits License for BNA12. The service and sale of all alcohol during a catering event must be administered by Compass One Catering staff, and comply with all state of Tennessee alcohol policies. No alcoholic beverages are permitted to be brought into any Compass One Catering working areas inside BNA12. These areas include; L-20 Heartbreaker Lounge and Outdoor Patio area, 5th floor Café area and Patio Deck, and 2nd floor Coffee Shop area. Compass One Catering, Compass-USA, and Eurest Dining and its affiliates will not be held responsible for any alcoholic beverages brought in by anyone other than those listed, and will not permit any storage, refrigeration or service of any alcoholic beverages not brought in by those listed affiliates.

FOOD SAFETY

HAACP/Food Safety: Compass One Catering follows the FDA laws governing food time safety guidelines. All prepared and packaged hot food items placed out at room temperature will only be held for 1.5 hours from set-time. During happy hour events, all prepared hot food items using temperature controlled (chafing dish) will only be held for 2 hours. All perishable foods will be removed at the 2-hour mark. All leftover food items remain the property of Compass One Catering. Any “Hot” perishable food items that has been set out for consumption will not be available to package up “to-go.” Clients will need to communicate to the Catering Director prior to the date of the event if left over food items are to be packaged for “to-go.” The food items will be properly packaged by the culinary team. There will be a $50 packaging fee added. The Client assumes all liability and becomes responsible for any damages that may result by anyone consuming the leftover food. Client releases Compass One Catering from any and all claims or liability.

TAXES AND SERVICE CHARGE

Sales Tax: All catering invoices will be charged Tennessee Sales Tax of 9.25%.

Liquor Tax: The state of Tennessee requires an additional liquor tax of 15% added to the sales tax of all liquor and wine sales. Tennessee State Mandated Liquor Tax of 15% + 9.25% = 24.25%

Service Charge: All event orders have a 20% service charge added.

ADDITIONAL SERVICES

Linens: As a standard, Compass One Catering provides black linens for all food and beverage tables requested for your event. Extra linen requests can be provided at an additional charge. Any specialty linen can be provided upon request at an additional charge. Please communicate your linen needs to the Catering Director for further information.

Additional Décor / Rental Needs: In addition to our food and beverage services, we are here to assist you with providing quotes for all your event rental needs; from specialty linens, décor and fresh florals. Please request more information with the Catering Director and allow at least 5 business days or more advanced notice in order to properly research and provide quotes for your specific needs.

Meeting Space and Table Needs: Amazonians are responsible for booking meeting room space and the catering tables for your food and beverage delivery. Please click on the following link to submit a MERF (meeting and events form) for these services.

ADDITIONAL INFORMATION

Pricing and Availability: All food and beverage prices and/or availability are subject to change without notice. Due to seasonality, back-orders and the overall quality of items, certain items may not be available. 

Policy Changes: Compass One Catering policies are subject to change without notice, but will NOT affect existing bookings that have been confirmed. Always refer to the posted Compass One Catering policies before placing an order.

WEEKEND & OFFSITE REQUESTS

Weekend Minimum: Compass One Catering will be available for events requested to occur during the weekend. There is a $500 food and beverage minimum required. For Bar services, there is a $450 beverage minimum required. Staffing needs will be assessed per request.

Weekend Staffing Fees: There will be a $60.00 per hour/per staff member, with a 2-hour minimum for any weekend event request. All events with food requests will require (1) culinary member and (1) steward scheduled. Additional kitchen staff will be provided per Compass One Catering discretion if deemed necessary for accommodating the event.
